TITLE: Foundation Administrative Assistant


This individual reports to the Foundation Executive Director and is responsible for providing administrative support to staff and assuming bookkeeping, reservation, and reception. These duties include but are not limited to: database system maintenance, office supply purchasing, word processing, filing, reception and telephone duties.


 High School Diploma or GED. Associates Degree or Technology Center Diploma Preferred.

REPORTS TO:  TCTC Foundation Executive Director


A.    Assist with Management of TCTC Fundraising Operations
Cooperate in the maintenance and / or modification of agency data collection system.
Oversee and maintain campaign database management for quality assurance.
Maintain appropriate interpersonal relationships with employees, peers, and donors.
Facilitate special event registration and execution.

B.     Organize and Track Foundation Financials
Make bank deposits and perform internal bookkeeping of records and files.
Prepare bi-monthly payables by coding all bills, statements and payroll according to chart of accounts.
Assist with annual audit by providing files and documents and provides information by answering questions and requests.
Maintain accurate daily accounting of deposits, fees, donations and other revenue.
Generate annual report.
Produce end of year tax statements.
Monthly billings.

C.    Perform other Specific Administrative and Professional Activities
Assume receptionist duties, greet public and refer them to appropriate staff members, answer phone, route calls, and take messages.
Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, and budgetary and personnel requirements; implementing changes.
Assist with completion of necessary statistical reports as requested.
Compile statistical information for Executive Director as requested.
Develop and maintain agency inventory system.
Distribute incoming mail and prepare outgoing mail including bulk mail.
Maintain front desk area, keeping it clean and free from clutter.
Word processing of documents as needed.
Order office supplies and monitor inventory.
Produce mailing labels and reports as requested.
Maintain accurate information on the TCF website.
Prepare quarterly board packets.
Provide administrative support to the Executive Director and Director of Development.

D.    Other Job Related Duties as Assigned by Supervisor

The omission of specific statements of duties does not exclude them from the position if the work is similar, related or logical assignment to the position.


         Twelve months; salary to be established by the Board of Education.


Performance evaluated by the Executive Director of the Foundation in accordance with Board Policy.

Status: Non- Exempt

Salary: $25,000 - $32,000

NIMS Designation: General (NIMS 100 & 700 courses)
